Settings

In one line: one screen gathering what is set once and read often — your own account, your company's identity, its letterhead and its subscription, then each system's settings on their own: HR, Customers, Channels and Accounting.

Plan: The screen itself is open on every plan and needs no switching on — but what you see in it follows your role, the workspace you're in, your plan, and what the platform owner has enabled for your company. The company administrator sees the full catalogue; an employee sees a smaller screen of their own, unless they hold a permission that opens one particular section. Start with Plans & billing.

Overview

Settings is a catalogue, not one long page: groups in a sidebar list, each group with sections beneath it, and one section opening in the panel alongside. There are six groups and twenty-five sections in the full catalogue — and nobody sees all twenty-five at once.

The rule governing what appears to you is simple: the group carries the workspaces it appears in, and the section inherits them from it. So the My account and My company groups appear in every workspace — because your account is one and your company is one wherever you go — while the rest follow the workspace you're in:

So an administrator of a company that has everything sees 13 sections in the HR workspace, 17 in Customers, and 11 in Accounting.

Note: Channels alone appears in two workspaces, and both of its numbers are visible in each — the employee-notifications number and the customer-service number. That is deliberate: before it, no single screen showed both numbers together, so the HR manager didn't know the customer-service number existed, and vice versa.

How do I open Settings?

From the sidebar → the System section → the Settings row. The row is present in all three workspaces.

  • On a computer: the settings list replaces the usual sidebar while you're in the screen, with the active section's panel beside it. And the Back button — its full title "Return to the main menu" — takes you out and restores the sidebar, returning you to the workspace you came from rather than always to HR.
  • On a phone: the list is the whole screen, and tapping a row raises the section in a bottom sheet that closes with back or a tap outside it.
  • From the phone too: your account icon in the top bar contains Settings — that is the door there, because the sidebar is hidden on small screens.

Note: your account card at the bottom of the sidebar on a computer does not carry Settings: it holds sign out and nothing else. The route on a computer is the Settings row in the System section.

Tip: Settings is a shared screen across the systems: it remembers the last workspace you entered and opens on it. So if you're looking for an accounting setting and can't find it, look first for the Switch system control at the top of the sidebar, move to Accounting, then open Settings.

How do I set up my own account?

The My account group has one section — Profile — which is four cards on one screen:

Profile: your picture, name and id. The Upload a profile picture button accepts "any image · it will be cropped square automatically", and the Name field sits beside Save — an empty name being refused with "The name cannot be empty."

Change password: current password, then new password, then confirm password. The minimum is 10 characters for every password in Duwam, with anything shorter refused with "The password must be at least 10 characters," and a mismatch with "The passwords do not match."

Appearance: two rows with deliberately different behaviour.

  • Theme — Light or Dark, and "applied immediately on this device" with no save and no reload.
  • Language — Arabic or English, and "the interface is re-initialised on change," so the page reloads to be redrawn entirely in the new direction and language.

Notifications: a daily digest switch — "a morning email at 08:00 Saudi time with your company's key numbers for the day." — with send a test copy now when it's on, and a last sent line if one has gone before. The company administrator gets an extra card: mobile app notifications, containing send a test notification to everyone, which knocks on every registered employee device at once and tells you how many of how many received it — or "No devices registered yet — open the mobile app first."

Caution: theme and language are saved in this browser, not in your account. Open Duwam from another computer or another browser and you're back to the default. That is why your colleague doesn't see what you see.

Note: the daily digest today is for company administrators alone; the switch shows disabled for an employee.

How do I define my company?

My company → Company profile: "your company's basic information" — which is also the identity printed on every invoice.

At the top of the card are two badges that can't be edited: relationship number and company id. Then in order:

  1. Company name — the name shown throughout the interface.
  2. Country — and "sets working days, currency, time zone and number format automatically. You can change any value later."
  3. Company currency — which has four states, each with its own wording (detailed below).
  4. Line of business — "determines the suggested templates and workflow steps. You can change it at any time." The list is split into available and coming soon, and what's under "coming soon" is shown but not selectable.
  5. Legal name — "as it appears in the commercial registration. It shows on tax invoices — and if left empty, the company name above is printed instead."
  6. Tax number — "a tax invoice without a tax number is an incomplete document."
  7. Commercial registration.
  8. Company logo — "appears at the top of printed invoices, quotes and statements. PNG, JPG or WEBP, up to 1 MB."
  9. Company address — "the company's detailed national address — it appears on the e-invoice." Its fields follow the chosen country, so changing the country redraws the fields and keeps what you typed.

Then Save.

Note: the logo saves by itself the moment you choose it, without waiting for Save. It has three buttons: choose an image before a logo exists, then replace and remove afterwards. And it is the same logo that Print templates edits — two doors onto one field.

Caution: the profile holds the name read in the interface; the legal name, tax number and commercial registration are the invoice's identity. Leave them empty today and your invoices come out incomplete tomorrow — see Sales & invoicing.

The currency field's four states

The currency is not an ordinary field, because the numbers written in it actually exist:

  • Open — not chosen yet, or with nothing behind it: it saves with the form. The line tells you: "Chosen once. After the first accounting entry it cannot be changed, because every entry, invoice and payment is recorded in it."
  • Has numbers behind it — "Numbers recorded in this currency: wages, salaries, deals. Changing it is a revaluation at a rate you set, not a rename." And then the field opens no list, but shows a Revalue the currency… button instead.
  • Locked — "Locked: the ledger holds entries recorded in this currency, and changing it now would silently rename them all." Or "Locked: financial records exist that cannot be renamed." And with it, the names of the places that locked it — "the accounting ledger", "point of sale", "stock", "issued work orders" and the like — so you know where to go.
  • An incomplete revaluation — the button is withdrawn rather than left to be misused: "A revaluation started and did not complete. Do not retry — contact support to finish it, as some figures may already have converted."

And the Revalue the currency… dialog asks for the new currency and the conversion rate — which you type, never fetched from a market — and counts in front of you what will move (employees, deals, field jobs, priced settings), then warns outright: "What has actually been paid is not revalued: paid salaries and issued documents keep their currency and their figures." The button is Revalue.

How do I set my printed pages' letterhead?

My company → Print templates: "the letterhead that appears at the top of every page the company prints: task sheets, work orders and invoices." This is a new section that didn't exist before.

  • Company logo — the same logo as in Company profile.
  • Tagline — up to 120 characters.
  • Phone (40), email (120) and website (200) — the contact line beneath the name.
  • Show the tax number and show the commercial registration — two switches, both on by default.
  • Page footer (Arabic) and Page footer (English) — up to 300 characters each.
  • Default paper size — A4 or A5.
  • Preview — and it isn't a picture resembling the print: it is the very block that will be printed, redrawn with every character you type.

Then Save.

Note: the screen says itself where the legal identity is edited: "the legal name, tax number, commercial registration and address are edited in" → Company profile. One screen for one question.

How do I connect an external system?

My company → Integrations: "connect external systems to Duwam through API keys and follow the activity log." At its head are two links that open in a new tab — API docs and the GoHighLevel connection guide — and three tabs:

API keys — "API keys let external systems (GoHighLevel, Zapier, Make, or your own scripts) read and write data within your company's scope. Each key has specific permissions and a request limit." A New key button opens a form with:

  • Name.
  • Mode — Live ("read and write production data") or Test (sandbox) ("isolated sandbox data"), and "test keys work on isolated sandbox data — they never touch production records. Use test for development and live for production."
  • Permissions — "pick only what the external application actually needs — narrower permissions are safer."
  • Request limit (per minute) — starting at 100, with an accepted range of 10 to 1000.

After Create, the key is shown in full once with an explicit warning — "Copy it now — this is the only time we show the full key." — along with a ready test line. In the list afterwards you see only its masked form, its status, last use, request count, limit and permissions, and two buttons: Rotate (which revokes the old one and issues a replacement with the same permissions) and Revoke.

Activity log — three counters (total requests (24h), successful, errors) and a table of the last 50 requests: time, method, path, status, duration, key prefix, request id and network address.

WhatsApp API — connecting WhatsApp through HighLevel: "create a private integration in your HighLevel settings, enable the conversation scopes, then paste both values here." You enter the location id and the private key, then Connect, then Check capabilities — and under what this key can reach it writes each check's result with its own reason, not one word "failed": "the scope isn't enabled on the key — enable it and reissue", "HighLevel doesn't provide this endpoint", "we exceeded the rate limit — try again shortly", "couldn't reach HighLevel — nothing to do at your end".

Caution: the private key is written and never read back — "the key is saved and never shown again — not here and not in any response." And an empty field on an existing connection means "keep the current one", not "clear it". The location id, though, is shown in full because it isn't a secret, and it's what you compare against your HighLevel screen.

How do I upgrade my plan or delegate who manages it?

My company → Billing: "manage the subscription plan and payment method."

At the top are three cards: current plan, status (active / awaiting payment / overdue / cancelled), and next renewal if there's a date. Then the grid of upgradable plans, each card carrying Upgrade plan, or Current disabled on your own. Between them is a monthly / annual — save ~17% toggle when an annual cycle is on sale, defaulting to annual. Anyone who has paid before sees Manage subscription, which opens the provider's portal.

Caution: upgrading belongs to the account owner or whoever they delegate. Anyone else reads the details and sees no upgrade button at all, with a card in its place: "Subscription management is available to the account owner" — "You can view the current plan's details. To upgrade or change the subscription, please contact the account owner."

Delegation is a card the owner alone sees at the bottom of the screen: Delegate subscription management — "Give other admins the ability to manage the subscription on your behalf. The account remains yours." — a list of the company's administrators with a checkbox each, saved the moment you click. And if there's no other administrator you're told: "No other admins to delegate to yet. Add another admin first."

How do I turn on the AI assistant and read its usage?

My company → AI assistant: "a chat assistant with a durable memory that helps your team get work done, search and summarise. It appears as a floating icon on every page when enabled."

The card carries an enabled or not enabled badge, and beneath it one of three:

  • The service is off across the whole platform: "The service is disabled at platform level. Contact the platform administrator to enable Anthropic keys."
  • On at the platform and off for your company: "The AI assistant isn't enabled for your company — contact the platform administrator to enable it."
  • Enabled: the provider and the model's name are written.

And beneath that — in all three states — a usage this month counter: the amount spent out of the ceiling, a bar that fills, a line saying where the ceiling came from (by plan, a custom limit for this company, or open usage) and when it renews — always the first of the following month.

Note: the assistant's card stays visible even when it's off, because it is its operating surface — and hiding it would hide the key along with the lock. But enabling it is the platform owner's to do, not yours, and so is changing the monthly ceiling.

What do I set under HR?

Work & pay — "default working hours, the overtime multiplier, the schedule and the hourly rate — all in one place." Three small cards and two large ones:

  • Default working hours per day — 8 by default, range 1 to 24 in half-hour steps, and "used as the default for employees who have no value of their own."
  • Overtime pay multiplier — 1.5 by default, range 1 to 5: "every overtime hour is paid at the hourly rate × this multiplier."
  • Time zone — "attendance and shift windows are calculated in your company's local time, not the server's."
  • Default schedule — two chips: fixed shift (with shift start and shift end, the required hours derived from the window in front of you) or flexible hours (required hours per day). Then scope: all employees or specific employees only, then apply the schedule. And a clear the selected shift button returns those chosen to hours-based counting.
  • Pay — an hourly rate and a scope with a third option, everyone except those selected, then apply.

Worksites — "restrict attendance check-in to a geographic location for on-site employees… check-in outside the boundary is refused." The card shows the geofencing state — "enabled per company. Off by default." — and a manage locations button when it's on. And when it's off you read: "Geofencing isn't enabled — contact the platform administrator to enable it." See Worksites & geofencing.

Rewards & recognition — "set the points-to-dollar conversion rate, the attendance reward, the lateness deduction, and the live ticker at the top of the screen." Five cards, each saving itself:

  • Announcement to employees — "one line shown at the top of Home in the mobile app for every employee — above 'employee of the month'. Leave it empty and the banner returns to employee of the month." Up to 200 characters, with Publish and Clear buttons.
  • Point value — "what one point is worth in dollars. Default: $0.10 (10 points = $1)."
  • The live ticker — Yes or No.
  • Daily attendance reward — "one point per full working day, granted shortly before the end of the shift." And minutes before the end of the shift: 5 by default, range 0 to 60.
  • Task lateness deduction — "the balance never falls below zero, and the deduction pauses while awaiting review." With points/day defaulting to 1 (up to 10), and a cap per task defaulting to 5 (from 1 to 50).

Task stages — "customise how the kanban columns appear and which stages count in productivity reports." The stages are six and fixed — New, In progress, Awaiting approval, Needs changes, Completed, Overdue — never added to and never deleted; what you set is their appearance and order:

  • Choose how colours are shown: default ("no colours — neutral columns"), coloured dot, or coloured background — the last being the default.
  • A table with a colour per stage, a show in reports switch that takes a stage out of productivity calculations without deleting its column, a drag handle that reorders the columns, and a search box.
  • Restore defaults returns the mode, colours and order, then Save changes.

What do I set under Customers?

Eight sections, appearing in the Customers workspace alone:

Saved replies — "a shared library of ready replies the team uses to answer customers faster in the inbox." A New reply button opens a form with four fields: title, shortcut, category and reply text — the title and the text being mandatory. And before the first reply: "No saved replies yet. Add the first one to share it with the team."

SLA / response times — warn after (minutes) defaulting to 5, breach after (minutes) defaulting to 15, and "the warning time must be shorter than the breach time." Anyone breaking that is refused with "Enter valid values — the warning time must be less than the breach time."

Business hours — "set the chat team's working times — used to calculate response time and pause the SLA timer outside these hours." An enable business hours switch — off by default — and seven rows from Sunday to Saturday, each with closed, from and to. The default is 09:00 to 17:00, with Friday and Saturday closed. Beneath them a read-only time zone line — the same zone set in Work & pay, not a second independent one.

Automatic conversation assignment — an enable automatic assignment switch, and "when on, new conversations are distributed automatically and evenly among active chat staff during the defined business hours." It is off by default, and is a new section that wasn't documented before.

Customer satisfaction (CSAT) — "send the customer a short satisfaction survey after their conversation closes, and they reply with a number from 1 to 5." An enable the satisfaction survey switch, a survey message, a thank-you message after rating, and a minimum gap between two surveys for the same customer (days) — defaulting to 7. Both texts come ready-written: "Thank you for getting in touch. How would you rate our service? Reply with a number from 1 to 5 (5 = excellent)." and "Thank you for rating us! We're always glad to serve you."

Tags — "a shared tag catalogue for the team, to classify inbox conversations and contacts with a distinct colour." A row per tag with its name and colour, the name saving when you leave the field and the colour the moment it changes. At the bottom is the add row and Add tag. A duplicate name is refused: "That name is already in use."

Custom contact fields and custom deal fields — two new sections, the same screen with two different lists:

  • "Add fields specific to your company — they appear automatically in contact filters, column selection and CSV export." And for deals: "Add fields specific to your deals — they appear in the deal drawer, on the card if you choose, and in filters and the table."
  • New field asks for the field type — short text, long text, number, money, date, single select, multi select, link, checkbox — then the Arabic label and the English label (one of them is enough). Deal fields have an extra box: show on the card.
  • The type never changes after creation — it shows in the edit form as text, not a list.
  • Single select and multi select open an options button with their count.
  • Ordering is with up and down arrows, and "reorder the fields with the arrows, and archive a field before deleting it permanently."

Caution: delete isn't offered until after archiving. A live field carries Archive and nothing else; afterwards an archived badge appears with Unarchive and Delete permanently. And the delete says what it does: "Deleting this field will remove its value from every contact permanently. Continue?"

Note: the number of fields has a plan ceiling: 10 on Professional, 15 on Advanced, 25 on Business, unlimited on the Custom plan, and 10 during the trial. An archived field doesn't count — so reaching the ceiling tells you: "You've reached your plan's field limit (10) — archive another field or upgrade." And unarchiving a field returns it to the count, so it may be refused for the same reason.

What do I set under Channels?

Two numbers for two purposes, both appearing in the HR and Customers workspaces:

WhatsApp notifications — "link the employee number to send system notifications over WhatsApp."

Auto-replies — "link the customer-service number and manage auto-replies and templates." Beneath the connection card, the full templates and replies screen is embedded. And before connecting it warns you: "Link the customer-service number from this section first to enable auto-replies."

Both sections work the same way: before connecting, a warning before linking card, and the link the company's WhatsApp button doesn't unlock until you tick "I understand and accept full responsibility." Afterwards the card says connected with the number, plus today (sent, out of the daily limit), last sent, and send a test message, message log and disconnect buttons. Both also have a collapsed card called connection route (proxy) for whoever needs it.

And in WhatsApp notifications alone is an override quiet hours (for testing only) switch — "Warning: allows automatic notifications to reach employees at night. It closes automatically after 30 seconds."

Caution: both sections are gated behind the WhatsApp feature that the platform owner opens for your company, and auto-replies additionally needs you to have Customers. Missing either condition hides the section in every workspace, not just in its own.

What do I set under Accounting?

Four new sections, appearing only in the Accounting workspace and only for whoever's plan includes the ledger:

Ledger setup — "the company's line of business and the accounts that follow from it. Determines which accounts are seeded into the chart of accounts." You choose the business, tick the company holds stock and the company manufactures its products — two deliberately separate questions, since a retailer stocks but doesn't manufacture — then Save. And if the chart is seeded you read "Chart seeded:" with the number of accounts.

Document numbering — "Do invoice and entry numbers restart each year, or run unbroken?" The two policies are restart each year and run unbroken, and before you choose, the list sits on "— choose a policy —": "never asked" is not the same as "annual".

Caution: the numbering policy is chosen once: "Chosen once. After the first issued document it cannot be changed." And after the first issued number the list is locked and the save button disappears altogether — no button is left that would certainly be refused — and the reason is written: "Locked: numbers have been issued under this policy, and changing it now would restart a sequence the customer sees."

Taxes & filing frequency — "the taxes the company is registered for, and how often it files." Two separate checkbox lists — transaction taxes and withholding taxes, each tax with its rate beside it — then the filing frequency: monthly or quarterly, with "— choose a frequency —" before you pick. And a jurisdiction with no taxes is a valid state, written outright: "No taxes in this jurisdiction."

Financial periods — "the years the ledger accepts entries in. An entry dated outside them is refused." A list of open financial years, then open a financial year with a year list and open the year. And a ledger with no open year says so rather than leaving you to discover it through a refusal after a whole entry: "No open financial year — the ledger accepts no entries."

Why can't I see a section my colleague has?

Four reasons and no fifth; check them in this order:

  1. Your role. Every section except Profile is for the company administrator. An employee gets exactly two opened by a named permission: Worksites for whoever holds Add employees or Manage teams, and Task stages for whoever holds Assign tasks, Approve tasks or Manage projects.
  2. The workspace. Customers sections don't appear in HR, and Accounting sections appear only in their own. Switch system first.
  3. Your plan. Accounting sections need a plan that includes the ledger (or a purchased add-on), and Customers sections need a plan that includes them.
  4. The platform owner's switch. Some features — WhatsApp, the AI assistant and geofencing — are opened for your company by the platform owner, and no button on this screen opens them for you.

Note: an employee has a different settings screen from this one, containing My account (their profile, password, appearance, and WhatsApp & auto-replies if the feature is enabled) and Payroll (payment details). And if they hold a permission that opens an administrative section, a company settings group appears for them with links to that one section.

What Settings does not do

So you don't go looking for what isn't there:

  • No Features screen — no on/off table for the modules. Turning a feature on now happens on the card that owns it: geofencing from Worksites, the assistant from AI assistant. And those switches belong to the platform owner, not to the company administrator.
  • No brand colours and no primary or secondary colour — what you upload is the logo alone, and there is no interface colour picker. The only settable colours are task stage colours and Customers tag colours.
  • No dark-mode-specific logo — one logo and no more.
  • No password policy, no active-session list and no sign-in log. The minimum length is fixed in the system (10 characters) and isn't set from a screen.
  • No Tags page for tasks — the settings tags are Customers tags, for classifying conversations and contacts.
  • No webhooks in Integrations — what's there is API keys, their activity log and the HighLevel connection. See Automation & integrations.
  • No default company language and no default company theme: language and theme are each browser's own choice.
  • No search box inside Settings — you navigate by the sidebar list.
  • No leave settings and no public-holiday calendar — see Leave.
  • Settings creates no employee, no team and grants no permission — that is in Employees and Teams & permissions.
  • The custom fields here are for Customers alone — project and task fields are set from the project's own page; see Custom fields.

FAQ

Q: Where did the Features tab go? A: It no longer exists. Each feature's switch moved onto the card that owns it: geofencing in Worksites, the assistant in AI assistant. And most of those switches belong to the platform owner, not to you — in which case you read a line telling you so outright, rather than a button that doesn't work.

Q: Where do I change the company colours? A: There is no interface colour picker in Duwam. What you set is the logo in Company profile or Print templates, the task stage colours, and the tag colours in Customers.

Q: I switched the theme to dark and it came back light on the office computer. A: Because theme and language are saved in this browser, not in your account. Set them once on each device.

Q: I'm looking for the accounting settings and can't find them. A: You're in another workspace. Open Switch system, move to Accounting, then open Settings — the screen follows the workspace you're in.

Q: I uploaded the logo and didn't press Save — is it lost? A: No. The logo saves by itself the moment you choose it, because it's a file, not a field. The rest of the Company profile fields do need Save.

Q: My currency field is disabled. A: Because there are recorded numbers behind it. Read the line above it: if it says locked it will name the places that locked it — the ledger, or point of sale, or stock, or issued work orders. And if the state is "has numbers behind it", the door is Revalue the currency… at a rate you type, not a change of name.

Q: I chose the wrong numbering policy — how do I change it? A: It doesn't change after the first issued document — which is why the save button disappears altogether. That is deliberate: changing it would restart a number sequence your customer sees.

Q: I can't delete a custom field. A: "The field must be archived before it can be permanently deleted." Archive it, and Delete permanently appears on it.

Q: I was told I've reached my plan's field limit. A: The ceiling is by plan: 10 on Professional, 15 on Advanced, 25 on Business. Archive a field you no longer use — an archived one doesn't count — or upgrade the plan.

Q: The upgrade button doesn't show for me and I'm an administrator. A: Upgrading belongs to the account owner or whoever they delegate. You see the plan's full details with a "Subscription management is available to the account owner" card. Have the owner delegate you from the Delegate subscription management card in their Billing section.

Q: My employee sees nothing but their profile. A: That is the norm — every other section is for the company administrator. Worksites opens for them with the "Add employees" or "Manage teams" permission, and Task stages with "Assign tasks", "Approve tasks" or "Manage projects". See Teams & permissions.

Q: Why do I see the customer-service number while I'm in the HR workspace? A: Deliberately. Channels appears in both workspaces with both its numbers — because your company is one, and because hiding one of the numbers is what used to leave each manager unaware of the other's.

Q: I set the time zone in Business hours and it didn't save. A: Because it's read-only there. The time zone is one for the whole company and is set from Work & pay → Time zone.

Q: Does the daily digest reach every employee? A: No. Today it's for company administrators alone, which is why the switch shows disabled for an employee.
