WhatsApp Notifications
In one line: Link your company's WhatsApp number by scanning a QR code, and Duwam's key task notifications reach your employees' phones on WhatsApp — without them leaving their chats.
Plan: Available on the Professional, Advanced and Business plans, and off by default until the account owner turns it on.
Overview
Duwam can echo a few important notifications to WhatsApp, so a task alert or an urgent message from management reaches the employee even when the app isn't open in front of them.
How it works, briefly:
- An admin links a single company WhatsApp number by scanning a QR code (just like WhatsApp Web).
- After linking, a short copy of specific notifications only is sent to each employee's WhatsApp number.
- Each employee controls which notification types they receive, and can turn them off entirely.
Note: This is a WhatsApp Web (unofficial) connection meant for work-related notifications only, not for promotional or bulk messaging — heavy use may get the number banned by WhatsApp.
Linking via QR code
Linking is done once, at the company level, from the admin's account:
- Open Settings → WhatsApp.
- Click "Link WhatsApp" — a QR code appears in a pop-up window.
- On your phone, open WhatsApp → Linked Devices → Link a device.
- Point the phone's camera at the QR code on the screen.
- On a successful scan the window closes automatically, and the card switches to "Connected" showing the linked number.
Tip: After linking, use the "Send test message" button to send a message to your own number and confirm the channel works. The test message is sent at any time, even during quiet hours.
Warning: The QR code refreshes about every 30 seconds. If it expires before you scan it, wait for a new code to appear or reopen the window.
If the connection drops
The connection may drop if the device is logged out of WhatsApp, or if reconnection fails several times in a row. When that happens:
- You get a notification inside Duwam (in the bell) titled "WhatsApp disconnected".
- Open Settings → WhatsApp and re-link by scanning a fresh QR code.
Which notifications are sent
Duwam sends only specific types of notifications to WhatsApp, not everything. The current types:

Each message is short and direct, and ends with the "— Duwam" signature so the employee knows the source.
Note: The number that receives the notification is the one on the employee's profile, unless the employee sets a dedicated WhatsApp number in their settings.

Employee control over notifications
Notifications are on by default (opt-out, not opt-in) — you receive them unless you turn them off yourself:
- Open Settings → WhatsApp from your account.
- Enter the WhatsApp number you want to receive notifications on (optional — if left blank, your profile number is used).
- Click "Verify" to confirm the number is actually active on WhatsApp (this keeps a typo from silently swallowing every notification).
- Turn each notification type on or off individually with the toggles.
- Save.
Tip: If you change your number, the "verified" status is cleared automatically — click "Verify" again after every change.
Quiet hours
To protect employees' rest, automated notifications stop arriving at night:
- Default window: 23:00 to 07:00 Riyadh time.
- Any automated notification that falls inside this window is not sent (it isn't delayed — it's skipped).
- The test message an admin sends is exempt from quiet hours and works at any time.
Note: An admin has a temporary override for quiet hours to test the automated notification path at night. It expires automatically within a few seconds (30 by default, 5 minutes maximum) so it can never be left on by accident.
Unsubscribing and unlinking
There are two levels for stopping messages:
- An employee turns off one or more notification types from Settings → WhatsApp (see above), or turns them all off.
- An admin unlinks the whole company from Settings → WhatsApp → "Unlink"; this stops any message to every employee and deletes the stored session data.
Warning: Unlinking stops the channel for all employees at once. To turn it back on later you'll need to scan a fresh QR code.
Sending limits
To protect the number from WhatsApp's ban measures, automatic limits apply:
- Spacing between messages: one message every 10 seconds per company.
- Daily cap: up to 200 messages per day per company.
- New-number warm-up: on day one the cap starts at 30 messages and ramps up gradually to 200 over a week.
Note: An admin can review the message log in Settings → WhatsApp to see what was sent, what was queued, and what was skipped (for example due to quiet hours or hitting the cap).
FAQ
Q: Do all Duwam notifications reach WhatsApp? A: No. Only the types listed above are sent (task assigned, urgent message, status update, mention, reward). All other notifications stay inside the app.
Q: I set everything up but the notification never arrived. Why? A: Check that: your number is correct and active on WhatsApp (use the "Verify" button), the notification type isn't turned off for you, the time is outside quiet hours, and the company session is connected.
Q: Does every employee need to scan a QR code? A: No. Scanning is done once from the admin's account for the company number only. An employee just enters their number in their settings.
Q: I sent a test message at night and it arrived, but my notifications don't come at night. Why? A: The test message deliberately bypasses quiet hours, while automated notifications stop between 23:00 and 07:00 Riyadh time.
Q: Who can link or unlink WhatsApp? A: The company admin only, and the feature must be enabled on the company's plan (Professional, Advanced or Business).
