Custom Fields

One-line summary: how an admin defines extra fields on a project (text, number, date, select…), how employees fill them in on tasks, and how to filter by them.

Plan: Fields per project depend on your plan: Basic 2, Professional 10, Advanced 15, Business 25.

Overview

Custom fields let you attach data specific to your team to tasks without changing how Duwam is built. A field definition lives on the project, while a field value is stored on each task. For example, you define "Deal value" once on your sales project, then each rep fills in the value on their own task.

Every field has:

  • A type (text, number, date, select…) set at creation and fixed afterwards.
  • A bilingual label (Arabic/English) that follows the current UI language.
  • Properties: required, show in list, default value, and order.

Note: A field's type and programmatic key cannot be changed after creation — doing so would invalidate values already stored on tasks. If you need a different type, create a new field and archive the old one.

Field types

Duwam supports ten types:

Type Description
Text Single line, up to 500 characters.
Long text A paragraph, up to 2000 characters.
Number A number; commas and spaces are stripped automatically.
Money A number rounded to two decimals (in SAR).
Date Stored as year-month-day.
Select One choice from a list you define.
Multi-select Several choices from the same list.
Person An employee in the company.
URL A web address; https:// is added if you leave it off.
Checkbox Yes/no (accepts "yes"/"no" and true/false).

Defining fields (for admins)

Create a new field

  1. Open the project, then the Custom fields settings.
  2. Click "+ New field".
  3. Choose the type and enter the label (in Arabic and English).
  4. Set the properties:
    • Required: must be filled before the task moves to a done state.
    • Show in list: the field appears as a column in the task list view (on by default).
    • Optional default value.
  5. Click "Save".

Tip: A label accepts up to 80 characters per language. Keep it short and clear so it reads well as a table column.

Add options (for select fields)

For the Select and Multi-select types:

  1. After choosing the type, click "+ Option".
  2. Enter the option label (up to 60 characters) and pick an optional color.
  3. Repeat for each option. The limit is 50 options per field.

Ready-made templates

Instead of building fields by hand, you can import a ready-made template with one click:

  • Hiring (ATS-lite): track candidates through hiring stages with offer and interview details (6 fields).
  • Sales (CRM-lite): track leads, deal stages, and values in SAR (6 fields).
  • Content & marketing: track posts, platforms, and review status before publish (6 fields).

Steps:

  1. In Custom fields settings, open "Templates".
  2. Pick a template, review its fields, then click "Import".
  3. The template's fields are added to the project; you can edit or archive them freely afterwards.

Caution: Import respects your plan cap. If you only have room for three more fields, the first three are imported and the rest are skipped with a reason — archive unused fields or upgrade your plan, then import again.

Archiving and deleting

  • Archiving is soft: the field disappears from edit forms and list columns, but historical values on tasks keep their labels. An archived field does not count against your plan cap, so archiving a field frees a slot.
  • Deleting is permanent and requires archiving the field first (a two-step gate). Deleting wipes the field's value from every task in the project and cannot be undone.

Ordering

Drag fields to reorder them; the order carries over to the fill-in forms and the list columns.

Filling in values (for employees)

Enter a value on a task

  1. Open the task.
  2. In the custom fields section, fill each field by its type:
    • Number/Money: type the number; no need to format commas.
    • Date: pick from the date picker.
    • Select/Multi-select: choose only from the defined options.
    • URL: paste the address; https:// is completed automatically if you forget it.
    • Person: choose an employee in the company.
  3. The value saves as you enter it.

Note: Clearing a field removes its value. Required fields are only enforced when the task moves to a done state, not on every edit — so you can save an incomplete task and come back to it later.

Filtering by custom fields

From the filter bar in the task list, you can filter by any custom field. The operator depends on the type:

  • Text / Long text / URL: "contains" a partial string (case-insensitive).
  • Number / Money: "equals", or within a "from … to …" range.
  • Date: "from" and "to".
  • Select / Person: "equals" a specific option/person.
  • Multi-select: "any of" — the task matches if it holds any of the chosen options.
  • Checkbox: on or off.

Tip: When you combine several filters, a task matches only if it satisfies all conditions together (AND logic). To broaden results, relax conditions rather than add them.

FAQ

Q: I changed my mind about the field type. How do I edit it? A: The type cannot be changed after creation. Create a new field with the type you want, and archive the old one to keep its historical values.

Q: I hit my plan's field limit. What now? A: Archive an unused field (archiving frees a slot because archived fields don't count), or upgrade your plan.

Q: I archived a field — are the values lost? A: No. Archiving only hides the field; historical values stay. It's the permanent delete (after archiving) that wipes values from all tasks.

Q: I typed a URL without https://. Is it accepted? A: Yes, https:// is added automatically. Only input that can't form a valid address is rejected.

Q: Why was my select-field entry rejected? A: The value must be one of the options defined on the field. Ask an admin to add the missing option.
