Accounting
Financial reports & VAT
One-line summary: Four reports that read your ledger and summarize it — trial balance, financial statements, statement of account, and the VAT return — without ever creating an entry.
Plan: Part of the Accounting space — available from the Advanced plan and during the trial. See the Accounting overview.
Overview
These reports read the books; they never write to them: each one sums the posted journal entries and lays them out the way an accountant reads them, without adding or changing a single entry. So:
- Every figure is the server's. The browser re-adds no column and re-derives no profit; one answer is better than two free to disagree.
- The currency is derived from the entries themselves that were summed — printed when the server derives one, absent when it doesn't. And if two currencies mix within the period, the report refuses to display rather than add halalas to cents.
- No auto-refresh. Each report describes a period that has already closed; it does not go stale while you look at it — so no timer burns database wakefulness for nothing.
- You choose the period on each screen, and the picker always shows the window the server actually used after any adjustment, so bounds it changed for you never disappear.
Trial balance
The trial balance (ميزان المراجعة) lists every account with the debit and credit that accumulated on it over the period — the first check that the books balance.
- In the Accounting space, open Reports.
- Set "From" and "To"; the screen opens on year-to-date by default.
- Read the columns: Code, Account name, Debit, Credit.
Below the table it shows total debit and total credit, and states plainly "Trial balance is balanced" when they match or "Trial balance is out of balance" when they don't. A period with no entries shows "No entries in this period" rather than empty rows.
Tip: A line above the table names the currency of the figures ("All amounts in …"). If "Unknown currency" appears in place of an amount, that is a deliberate refusal to show a number at a guessed scale — not a passing glitch.
Note: The report picker on this screen also holds a second report — "Goods received, not invoiced" — for those tracking purchases; switch between them from the menu above the table.
Financial statements
The Financial statements screen shows four statements in tabs, chief among them:
- Balance sheet (statement of financial position) — as at a date you choose: Assets, Liabilities, and Equity, followed by a derived line, "Current-period earnings" (because profit does not settle into an account until the year is closed). The equation line confirms it: Assets = Liabilities + Equity + period earnings.
- Income statement — over a period you choose: Revenue less Cost of revenue = Gross profit, then less Expenses = Net profit. A loss shows with its sign and color, so it is never read as a positive number.
Alongside them are the Cash-flow statement (indirect method, starting from net profit) and the carried trial balance (opening balance + period movement = closing balance).
Year-end close: Below the income statement is a panel to close the fiscal year — the closing entry carries the year's result to "Retained earnings" and locks its months, and cannot be repeated for the same year. Beside it, "Reverse the close" reopens the year for correction — an action described with caution, because the result may already have been reported to an owner, a bank, or an authority.
Statement of account
The statement of account gathers every movement between you and a customer or supplier over a period — the document you send when a balance is disputed.
- Choose the party from the list.
- Set "From" and "To" — there is no default period here; the dates that print must be the ones you chose.
- Press "Show", then "Print" to produce a copy carrying your business's details and logo.
The statement opens with a "Pre-period balance" line, then movement rows with Date, Description (the document type and its number), Debit, Credit, and the running Balance. It closes with a final balance described in words — "Due from them" or "Due to them from us" — because a party can be a customer and a supplier at once, and the sign alone reads as a typo.
Caution: A period with no movement does not mean "nothing is owed." The statement still shows its opening and closing balance, since "Nothing moved this quarter and you still owe 500" is a real and frequently needed answer.
VAT return
The VAT return aggregates value-added tax (ضريبة القيمة المضافة) for one filing window. The draft at the top of the screen is derived from the books on every request and moves as they move; the moment it is filed it freezes, and it appears in the "Filed returns" list beside it as it stood at filing, not as the books read now.
It leads with the net, described by its direction: "Payable to the authority", "Refundable from the authority", or "Nil return" — the amount is shown by its magnitude and the direction in words, so the authority is never paid what it owes you.
Below it is the tax categories table, one row per category the jurisdiction recognizes (even those nothing was sold under), with columns for sales base and its tax, purchase base and its tax, and whether the input tax is recoverable or not recoverable — the distinction that separates a zero-rated supply from an exempt one, which is why they are never merged into one row. The totals are output tax against input tax.
To file, enter a filing reason and press "File the return and close the period"; afterward the window's periods are locked to any new entry, and anything arriving later is carried into the next period's return as an adjustment.
Before filing: If the return warns you of documents not yet posted or supplies with no tax category, those are outside its figures — review them first so the return is not filed short.
Country with no VAT: If the business's country levies no VAT, or the business is not yet registered, the return shows a sentence explaining that instead of boxes of zeros.
FAQ
Q: Does any of these reports create entries? A: No. They all only read posted entries and summarize them. Entries are created from other screens (the journal, invoices, and so on).
Q: Why does "Unknown currency" appear in place of an amount? A: Because the server could not show the amount at its currency's precision, so it refused to guess the scale. A wrong figure in a financial report is worse than a gap in one.
Q: My trial balance is "out of balance" — what do I do? A: Review the entries in the journal; the report reports the state as it stands in the books and does not fix it.
Q: Why doesn't the statement of account open on a ready-made period? A: On purpose — the statement is a document argued over money, so the dates that print must be the ones you chose, not ones the screen guessed.
Q: I filed the return, then an invoice for its period arrived. A: The filed return does not change; the late arrival is carried into the next period's return as an adjustment.
