Accounting (ERP)
In one line: a full double-entry accounting system that lives beside HR and CRM inside Duwam — sales, purchases, banks, stock, point of sale, general ledger, and reports — entered by switching systems.
Plan: Accounting (ERP) and Point of Sale are available from the Advanced plan and during the trial. Entry requires a ledger permission (view or post).
Overview
Accounting in Duwam isn't a financial report bolted onto HR — it's the third workspace, standing on its own beside the HR and CRM ones. The first runs your internal team, the second runs your customer relationships, and the third runs all of your company's money: what you sell, what you buy, what sits in your tills and banks, what's in your warehouses, all the way up to your financial statements.
It's a full double-entry accounting system, fit for any business — trade, services, manufacturing, restaurants, retail. Every financial transaction is translated into a balanced journal entry posted to the general ledger, so the trial balance always balances and the financial statements are built from the entries themselves, not from numbers keyed in by hand.
The accounting workspace is organized into seven functional groups that cover the money cycle end to end:
- Sales — everything going out to the customer: quotes, invoices, and receivables.
- Purchases — everything coming in from suppliers: purchase orders, bills, and what you owe.
- Banks & cash — your tills, bank accounts, and their reconciliation.
- Stock — your items, warehouses, and quantities on hand.
- Point of sale — direct selling at the till, and its shifts.
- General ledger — the heart of the system: chart of accounts, journal entries, dimensions, and assets.
- Reports — financial statements, trial balance, and the VAT return.
Entering the accounting workspace
- At the top of the sidebar, press the "Switch system" button (the grid icon).
- Choose "Accounting" from the menu.
- The whole sidebar switches to the accounting groups. To return, switch systems again and choose "HR" or "CRM."
Note: The accounting option only appears for people on the Advanced or Business plan (or on an active trial) who hold the needed permission. The permission comes in two levels: view to see the system and read reports, and post to record entries and transactions. Admins have both. If you don't see the option, check with your account admin.
The functional groups
The seven groups aren't scattered lists — each covers one chapter of your money, and all of them flow into the single general ledger:
- Sales — quotes, sales invoices, recurring invoices, receivables, credit and debit notes, price lists, e-invoicing (on the roadmap), and importing items and opening balances from CSV files (customers and suppliers come in from the Contacts screen instead).
- Purchases — purchase orders, supplier bills, and payables (what you owe).
- Banks & cash — banks and tills (cash boxes), post-dated cheques, and bank reconciliation.
- Stock — quantity on hand for each item, plus item and warehouse management.
- Point of sale — the till screen for direct selling, and managing POS shifts (opening, closing, and reconciling their cash).
- General ledger — chart of accounts, journal entry, opening balances, cost centres and branches (analytical dimensions), fixed assets, budgets, and employee custody.
- Reports — trial balance, financial statements, statement of account, and the VAT return.
Tip: Start from the general ledger — set up the chart of accounts and enter your opening balances first, so the rest of the groups rest on a sound foundation and your reports come out right from day one.
The foundation: double entry
Everything the seven groups do meets at one rule: every transaction is a balanced journal entry. When you issue a sales invoice, record a purchase bill, deposit cash in the bank, or ring up a sale at the till, Duwam builds an entry behind the scenes that makes total debits equal total credits and posts it to the general ledger.
The result is that your books are consistent by structure, not by luck:
- The trial balance always balances — because every entry is balanced to begin with.
- The financial statements are derived from the entries — the income statement and balance sheet are built from the ledger, not from separately keyed figures.
- Every number has a trail — trace any amount on any statement back to the entry that produced it and the document it came from.
Note: You don't need to master accounting to use the system — invoices, point of sale, and purchases create their entries automatically. The manual journal entry in the general ledger is there for anyone who wants to record a transaction that doesn't pass through a ready-made screen.
Saudi compliance
The accounting workspace is built for the Kingdom of Saudi Arabia's requirements:
- VAT return — the Reports group produces the value-added-tax return ready from your invoices and purchases, so you read the period's figures straight off it instead of computing them by hand.
- E-invoicing (ZATCA) — on the roadmap; we announce each integration once it's ready.
Caution: Compliance is a shared responsibility — the system produces the documents and figures in the right form, but a correct return depends on your data being complete and your tax settings sound. Check with your accountant before any official filing.
FAQ
Q: What's the difference between the two ledger permission levels? A: View lets you see the system and read reports without editing; post lets you record entries, invoices, and transactions. Admins have both.
Q: Is accounting data separate from HR and CRM? A: It's an independent workspace with its own sidebar, but identities are shared across Duwam — the customer in CRM is the same debtor party in Accounting, with no double entry.
Q: Is the system right for my business? A: Yes — double entry is general and serves any activity: trade, services, manufacturing, restaurants, retail.
Q: Which plan do I need? A: The Advanced plan or above — or an active free trial, which opens the system too. Along with the plan you need a ledger permission. Without that, the accounting option doesn't appear in "Switch system."
Q: Is the system ready for the Saudi market? A: It produces the VAT return today. ZATCA-compliant e-invoicing is on the roadmap — we announce each integration once it's ready.
